Chicago Cosmetic Surgery and Dermatology, founded by Carolyn Jacob, MD in 2005, located in beautiful River North, is looking for Patient Entry team members to add to our growing team (60+ staff)! Even in a pandemic, our one office location continues to expand (added services, research studies, staff promoted/moved to other areas of the office) and this is an exciting opportunity to join a successful and fun practice. Due to our growth, we have an immediate need to hire 3-4 full-time staff to add to our team. Many of our valued staff have been with the company for over a year (many 5+ years with the company, some 15 years!).

Our ideal candidate must possess a positive, "can-do" attitude, be energetic, a team player, detail-orientated, and enjoys interacting with people.

Position Summary:

Responsible for greeting all patients and visitors to the practice at front desk and/or on the phone. Staff are trained in three areas of the department: phones, front desk and check out (all located in separate areas of the office). Staff work one-on-one with a trainer for each area (spend two weeks in each department) for a total of six (6) weeks of hands on training. Schedules all patient appointments. Serves as a liaison between the patient and clinical staff. Participates in staff meetings and follows the general policies and rules of conduct as outline in the employee handbook.

Essential Functions:

Front Desk Check In/Check Out-

  • Greet and welcome all new patients and visitors to the practice using excellent customer service skills.
  • Presents forms (paper and electronic) to be filled out, provides any assistance needed by patient.
  • Scans driver’s license/photo identification and both sides of insurance card(s), verify current information on file is accurate and up-to-date.
  • Verify and update all demographic and insurance information on established patients.
  • Provides registrations forms/consents to patients to read and sign.
  • Provides HIPAA Privacy Notice to patient, along with acknowledgement form for patient’s/legal guardian’s signature.
  • Accurately and efficiently enter all demographic and insurance information into the practice management system.
  • Collects past monies due upon the patient’s arrival for their appointment.
  • Schedule all appointments in a professional, accurate and courteous manner, following template guidelines.
  • Monitors and modifies providers’ scheduling templates as necessary to maximize efficiency.
  • Responsible for all areas of patient check in and check out.
  • Obtain insurance eligibility on all general dermatology patients at least two days prior to their appointment.
  • Check out all patients and collect appropriate monies due (payment for cosmetic procedures, co-pays). Schedule all follow-up appointments.
  • Accurately enter all patient charges into the practice management system.
  • Post any collected monies to appropriate line items.
  • Explain all charges to patients including any fees they will be responsible for (if patient is responsible for deductible after checking benefits).
  • Keeps patients informed of any delays in being taken back by clinic staff.
  • Answers telephone, obtaining appropriate information such as name, nature of call and then route to appropriate person.
  • Completes daily batch reconciliation.
  • Balance all charges and collections showing in computer against encounter forms and all money collected.
  • Count change drawer, assures that all money is accounted for. Notify the Patient Entry Coordinator, Revenue Cycle Coordinator, or Practice Administrator immediately if there is a discrepancy (over or under).
  • Put finished deposit and balance sheets in cash box.
  • Maintains orderliness of waiting area throughout the day, paying attention to the neatness of magazines, brochures, binders and removing items discarded by patients.
  • Assists in the training of new Patient Entry staff.
  • Maintains professional image through appropriate attire and grooming.
  • Performs other duties as needed.


  • Retrieve messages from voicemail upon arrival in the morning, throughout day and end of day.
  • Greet patients with a friendly tone, giving employee name. Smile while speaking on phone.
  • Takes patient messages for doctor or clinical personnel, give to appropriate person.
  • Schedule and reschedule all appointments in a professional, accurate and courteous manner, following template guidelines.
  • Determines at the time of scheduling whether the patient has insurance with which the practice participates. Notifies the patient of this information.
  • Monitors and modifies providers’ scheduling templates as necessary to maximize efficiency.
  • Utilize waiting list to contact patients.


  • Treats all patients and other staff members with respect, is polite and professional, and keeps patient information private and secure according to HIPAA.
  • Ability to effectively triage calls from patients to ensure appropriate scheduling.
  • Excellent customer service, communication skills and telephone etiquette.
  • Ability to understand patient’s needs and concerns.
  • Ability to work as a team member.
  • Ability to manage multiple tasks simultaneously.
  • Organized with attention to detail.
  • Computer proficiency.
  • Knowledge of medical terminology.
  • Knowledge of CPT and ICD-10 coding.


High school diploma or equivalent.


Two years minimum experience in a medical practice, hospital, customer service, retail or hospitality environment setting preferred. Willing to train the right candidate.

Our patient office hours are Monday 8:00am-6pm, Tuesday 8am-6:30pm, Wednesday 8:00am-6:30pm, Thursday 8:00am-6pm, Friday 8:00am-5pm. Currently we are not open on Saturdays but will resume Saturday clinics (9am-1pm) in the summer. This is a full-time position (36-40 hours a week). Staff typically work four day work days (9-10 hours per day) as we realize a work life balance is important.

We offer BCBS medical, dental, vision, Aflac, and retirement benefits with 3% employer match after an introductory period. Personal time off (PTO) is earned each pay period at a rate determined by the amount of years worked. PTO accrues based on hours worked and can be used after three months of employment. Staff employed receive 3.5 weeks to 5.5 weeks of PTO/year. PTO is vacation and sick time combined to use however you wish.

Hourly wage depends on experience.
